Privacy Policy

Your Privacy is Our Priority

Meeting Mind is designed with privacy at its core. We believe your meeting data should remain yours.

Data Processing

All processing happens locally on your Mac by default. Your meeting recordings, transcriptions, and summaries are processed entirely on your device using WhisperKit and local AI models. Your data never leaves your computer unless you explicitly choose to use cloud services.

No Data Collection

Meeting Mind does not collect, store, or transmit any of your personal information or meeting content to our servers. We have no access to:

  • Your meeting recordings or transcriptions
  • Your meeting participants or content
  • Your personal information or usage patterns
  • Your files or documents

Cloud AI Services (Optional)

If you choose to use OpenRouter for AI summaries instead of local processing:

  • Only the transcript text is sent to OpenRouter for summary generation
  • This is entirely optional - local AI processing with Ollama is available
  • You control when and if cloud services are used through the app settings
  • OpenRouter's privacy policy governs their handling of data you send to them

Analytics

We collect anonymous, aggregated analytics through Apple's App Store to understand:

  • General app usage patterns (number of active users)
  • App stability and crash reports
  • Device and OS version statistics

This data is completely anonymous, cannot be linked to individual users, and is managed entirely by Apple according to their privacy standards.

Local Storage

All your data is stored locally on your Mac:

  • Audio recordings are saved to your chosen directory
  • Transcripts and summaries are saved as markdown files
  • Settings and preferences are stored in your local app container
  • You have complete control over where files are saved

Permissions

Meeting Mind requests the following permissions only when needed:

  • Microphone: To record your voice during meetings
  • Screen Recording: To capture system audio from meetings (no video is recorded)
  • Speech Recognition: For live transcription (processed locally)

These permissions can be revoked at any time through System Settings.

Screen Recording Data - Detailed Disclosure

What We Capture: Meeting Mind uses macOS Screen Recording permission exclusively to access system audio output from your computer (such as audio from Zoom meetings). This is a technical requirement of Apple's ScreenCaptureKit API.

What We Do NOT Capture: No video, screenshots, screen pixels, window contents, or any visual information is recorded or processed. The screen recording permission is used solely for audio capture.

How It's Used: System audio is combined with microphone input to create complete meeting recordings. The audio is then transcribed locally on your Mac using WhisperKit or Apple Speech Recognition.

Where It's Stored: All audio recordings are saved to directories you choose on your Mac (typically Desktop or Downloads). Files remain entirely on your device.

Third-Party Sharing: Audio files are never transmitted to any external servers. If you optionally enable OpenRouter for AI summaries, only the transcript text (not audio) is sent via secure HTTPS.

Data Retention: You have complete control over all recordings. Files can be deleted at any time through Finder. Uninstalling the app removes all app-specific data.

User Control: System audio capture can be disabled at any time (microphone-only mode is available). The screen recording permission can be revoked through macOS System Settings → Privacy & Security → Screen Recording.

Data Security

Your data security is ensured through:

  • macOS App Sandboxing for isolated, secure operation
  • No network transmission of your data (unless you enable cloud AI)
  • Local file storage with your system's security protections
  • No third-party tracking or advertising SDKs

Your Rights

Since all data is stored locally on your device:

  • You have complete control over your data
  • You can delete any recordings or transcripts at any time
  • Uninstalling the app removes all app-specific data
  • No account or personal information is required to use the app
